This Policy explains how Dote collects, uses, and shares personal information, including call recordings and transcripts and the summaries we share with a designated family member. Because Dote involves recording conversations and sharing information about an older adult, please read it carefully and share it with the Care Recipient.This Privacy Policy describes how Dote ("Dote," "we," "us," or "our") handles personal information in connection with the Dote companionship and check-in service, our websites, and related communications (the "Service"). By using the Service, you agree to this Policy and to our Terms of Service.
1. Who this Policy covers
This Policy applies to the "Family Contact" who sets up and manages an account, and to the "Care Recipient" (the parent or other adult who receives calls). The Family Contact represents that they have shared this Policy with the Care Recipient and obtained the necessary consents described here and in the Terms.
2. Information we collect
Information you provide
- Account & contact details: your name, relationship, email, and phone number; the Care Recipient's name, phone number, location/timezone, and preferred call time.
- Profile & preferences: interests, people they may mention, topics to avoid, accessibility notes, and similar details you choose to share to personalize calls.
- Safety & health-related details: emergency contact information and any health conditions or sensitivities you choose to provide. You decide what to share.
- Payment information: processed by our third-party payment processor; we do not store full payment card numbers.
Information from calls
- Call content: audio recordings, transcripts, and summaries of conversations with the Care Recipient, and anything they choose to share during a call.
- Call metadata: times, durations, outcomes (answered, missed, voicemail), and related records.
Information collected automatically
- Device & usage data from our website, such as IP address, browser type, and pages viewed, collected through cookies and similar technologies.
3. How we use information
- provide, schedule, and personalize the calls and the Service;
- generate and deliver call summaries and notifications to the designated Family Contact;
- attempt, on a best-effort basis, to flag concerns and notify the emergency contact (the Service is not an emergency or monitoring service);
- operate, secure, maintain, debug, and improve the Service, including quality assurance and training of our systems and staff;
- process payments, provide support, and send service and transactional communications;
- comply with law and enforce our Terms.
4. Automated and AI processing
Calls may be conducted and analyzed using automated and artificial-intelligence systems that generate speech, transcribe conversations, and produce summaries. These systems can make mistakes; summaries and any flags are provided for your convenience and should not be relied upon as complete or accurate, or as medical or safety advice.
5. How we share information
We share personal information as follows:
- With the designated Family Contact: call summaries, notifications, and safety concerns are shared with the person the Care Recipient has agreed may receive them.
- With service providers (subprocessors): telephony, hosting, AI, analytics, payment, and customer-support vendors who process information on our behalf under contract.
- For safety and emergencies: with emergency contacts or responders where we believe in good faith it is necessary to address a risk of harm.
- For legal reasons: to comply with law, legal process, or enforceable governmental requests, and to protect our rights, users, and the public.
- Business transfers: in connection with a merger, acquisition, financing, or sale of assets, subject to this Policy.
We do not sell your personal information, and we do not "share" it for cross-context behavioral advertising, as those terms are defined under applicable state privacy laws.
6. Call recording and consent
Calls may be recorded and transcribed as described in our Terms. The Family Contact is responsible for ensuring the Care Recipient, and any other person who may be on an enrolled line, has consented to recording where required by law. You may contact us to request that recording preferences be changed.
7. Health information
Dote is not a HIPAA-covered entity, and the Service is not a healthcare provider. Health-related details you choose to share are treated as personal information under this Policy, not as HIPAA- protected health information. Please share only what is necessary to personalize and provide the Service safely.
8. Data retention
We retain personal information for as long as needed to provide the Service and for legitimate business and legal purposes, after which we delete or de-identify it. We may retain de-identified or aggregated information that cannot reasonably identify an individual. You may request deletion as described below.
9. Security
We use reasonable administrative, technical, and physical safeguards designed to protect personal information. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
10. Your choices and rights
- Communications: opt out of texts by replying STOP; adjust call preferences or withdraw consent by contacting us.
- Access, correction, deletion: request a copy, correction, or deletion of personal information, subject to legal limits.
- Cookies: control cookies through your browser settings.
To exercise any right, contact manager@dote.family. We will verify your request and respond as required by law. An authorized agent or a person with legal authority over the Care Recipient may submit requests on their behalf with appropriate verification.
11. U.S. state privacy rights
Depending on where you live, you may have rights to know/access, correct, delete, and obtain a portable copy of your personal information, to opt out of sale/sharing or targeted advertising (which we do not do), and to be free from discrimination for exercising these rights.
California (CCPA/CPRA)
California residents have the rights described above. In the preceding 12 months we may have collected the categories of personal information described in Section 2 (identifiers, contact data, audio/electronic information, commercial information, internet activity, and inferences), for the purposes in Section 3, and disclosed them to the recipients in Section 5. We do not sell or share personal information as defined by the CCPA/CPRA. We do not knowingly collect the personal information of minors.
Other states
Residents of states such as Virginia, Colorado, Connecticut, Utah, Texas, and others with comprehensive privacy laws have comparable rights and may appeal a denied request by contacting us. Where required, you may also lodge a complaint with your state attorney general.
12. Children's privacy
The Service is intended for adults. We do not knowingly collect personal information from children under 18. If you believe a child has provided us information, contact us and we will delete it.
13. Third-party links
Our website may link to third-party sites we do not control. Their privacy practices are governed by their own policies.
14. Where we operate
The Service is intended for use in the United States, and information is processed in the United States. If you access it from elsewhere, you do so on your own initiative and are responsible for compliance with local law.
15. Changes to this Policy
We may update this Policy from time to time. We will post the updated version with a new "Last updated" date and, where required, provide additional notice.
